Straight talk first. This training uses your own numbers. It does not promise a result, and I have not quoted any industry statistics because I can't verify them. Steps 1 to 4 cost nothing and work whether or not you ever use my service.
Step 1: Count the calls you miss (7 days)
For one full week, note every call that goes unanswered. Your phone's call log or your provider's app shows missed calls. Write each one in this table (copy it onto paper).
| Day | Time | Who? (new / existing / unknown) | Called back? (Y/N) |
|---|---|---|---|
| Mon | |||
| Tue | |||
| Wed | |||
| Thu | |||
| Fri | |||
| Sat / Sun |
Step 2: Sort them
- New customers asking about work: these matter most.
- Existing customers chasing a job: risks goodwill.
- Sales calls / spam: ignore.
- After hours vs in hours: after-hours misses are the easiest to fix.
Step 3: Put a price on it (your numbers only)
Enter your three numbers.
This is an estimate from your inputs, not a forecast. If the answer is small, you may not need any tool at all, and that is a useful result.
Step 4: Fix the cheap things first
- Change your voicemail greeting: say who you are, what you do, and ask for a name, number and what they need.
- Turn on missed-call text-back if your phone provider offers it (many do).
- Check your Google Business Profile: correct opening hours, a booking or contact link.
- Set aside two fixed call-back times a day and stick to them.
Step 5: When would automation make sense?
Consider it only if, after Step 4, you are still losing enough new-customer calls that the cost in Step 3 is bigger than the monthly cost of a service. If you talk to any provider, ask:
- Has this actually been run for a paying customer like me? Can I speak to one?
- What does it cost per month and to set up, in writing, with no per-call surprises?
- What happens when it can't answer a question? Does it take a message?
- Who owns my number and my call data, and can I leave at any time?
My own offer, and where it stands. I'm Matthew, in Halesowen. I've built an AI phone receptionist called ClawbitAI. It answers your business number, answers common questions, and books the job or takes a proper message. It has been tested through 11 real scenarios but it has not yet run for a paying customer, so you would be one of the first. Published prices are in the confirmed price list on the ClawbitAI page.
If you'd like to hear how it sounds, ask for a live demo call when you book.
